10-Step Process Overview

STEP 5 - DESIGNATE PROGRAM ADMINISTRATOR

To ensure program success, it's critical that you assign the role of Program Administrator to someone in your organization. He or she will be the key contact for the program and responsible for all the main activities:

  • Maintaining program records
  • Working with information systems personnel to confirm tracking procedures or in some cases setting up a self-administration software program
  • Reviewing management reports for key information
  • Posting status on progress charts
  • Sending promotional materials and progress reports to participants
  • Issuing awards
  • Answering participants' and managers' questions
  1. Select someone who is well-organized, detail-oriented and enthusiastic.
  2. Select someone who can allocate the time required to run the program and is accessible to participants.
  3. Make sure the individual has access to the proper resources.
  4. For efficiency, incorporate existing systems/personnel whenever possible to track and administer your programs.
  5. Consider the administrative needs of your awards up front. Group travel, while very motivating, requires a great deal of coordination and planning. Award cards, on the other hand, can be equally as motivating but are essentially a turn key operation for a Program Administrator when it comes to award issuance and fulfillment.
  • The Program Administrator's efforts are key to smooth operation of your program. It is highly recommended that you reward this individual for the extra effort involved. You may want to base it on the overall success of the program or determine an appropriate amount based on the length of the program and the individual's normal compensation.
